Whether catching up at the beginning of a new season or staying up-to-date during the season, the What's New announcement feature in the administrator-only "Manage Team" area, will help keep you informed of any major updates or announcements. When we add a major new feature or make an important announcement, a red notification bubble will indicate the presence of unread items — the count of unread items published since the previous visit will be shown. Clicking on the What's New link will direct you to the announcements list. Any previously unread items will be highlighted. |

2025 Season - SwimTopia Mobile App Improvements
We are pleased to report that we've made many usability and feature improvements to the SwimTopia mobile app over the season. Visit the SwimTopia Mobile App section of our Help Center for more details about the app.
- Navigation: No more breadcrumbs! You spoke up, we listened, and we agree that bringing back the original navigation to take you "back" to the previous screen you came from makes more sense.
- Team Scores: We now display the score totals within the Combined, Men, and Women header boxes on the Teams screen, and points earned by an athlete are listed next to the athlete's name. Pro users can see the scores throughout the meet, but we've now enabled users of the free version to see the scores after the meet is complete, previously reserved for Pro users only (the meet host must have performed the meet completion steps to transfer or upload the results).
- Scoring by Division: Teams using our meet management system, Meet Maestro, and the division scoring feature will see the divisions represented during the meet. (Post-meet division display coming later)
- Public Meet Search/Private Meets: To lessen confusion when a guest or member is using the app's Public Meet Search, we now display any meet that matches the search criteria. If a meet host chooses to make a meet private, when the user clicks on the meet title, they will only see the meet details with a message indicating that the meet is not available to be publicly viewed.
- Guest & Member Login/Logout Experience: To make our app user-friendly for all user types - novice to expert, we have implemented the following changes - 1) added a confirmation message when guests click to log out to avoid guest users logging out and losing their favorites; 2) simplified the Login Help screen to clarify how users should log in based on their role with the team; 3) we authenticate users when logging in, which initiates the "Restore Subscription" process in case there has been any disconnect occurring between the user's app store email and the app store (Apple or Google Play)
- Pro Preview: To allow users to visually see what they would gain by upgrading, we opened up areas behind the Pro paywall (Events, Favorites, Teams) to show more details in a preview.
- Pro Popup and Banner: We enhanced the "Try Pro for Free" banner and paywall pop-up to clarify the Pro features, pricing, and trial terms.
11/07/2025 - Meet Maestro: Group by Athlete Age Group on the Team Scores report, and all scores display on one page by default
Users with access to run reports in Meet Maestro, can now group the Team Scores report by Age Group (matching by Athlete Age and Competition Category). Additionally, we're displaying scores on one page per competition category by default, and added an option to "Separate Page Per Competition Category" (as needed). Learn More.
10/30/2025 - Leagues: New Meet Scores Snippet
The League Meet Scores Snippet enables leagues to display the meet scores and top athletes (up to 50) for each meet within a season. The scores can be grouped by division (if set up) and/or by week. Learn More.
October 2025 - SwimTopia Status Update Site Launched
We launched a new SwimTopia status update site to provide our customers with real-time insight into any technical issues that could be affecting their team website availability and communication.
Visit and subscribe to https://status.swimtopia.com for the most efficient way to follow issues affecting your SwimTopia / Team Topia website, SwimTopia Mobile app, or Meet Maestro system. Status updates are delivered to the email provided when you subscribe to the status page.
09/30/2025 - Leagues: Added “start of season rank” to Division Assignments screen in Settings.
This is in preparation for supporting win/loss/tie in the "League Standings" snippet in a future release. The snippet will also be renamed to "Team Standings," since not all governing orgs are considered leagues. Learn More.
09/02/2025 - SwimTopia: Active Swim Manager Roster Import Support
You can import your team's roster into your SwimTopia website using the Registration report from your existing Active Swim Manager database. Learn More.
08/22/2025 - Meet Maestro: Athlete Check-In Report now shows EXH badges and swimup icons
08/18/2025 - SwimTopia: Support for Favicons Re-Introduced
Favicons (a.k.a. favorite icon, website icon, tab icon, shortcut icon, or app icon) are the small icons that appear in browser tabs, bookmarks, and search results to visually identify your site. Favicons strengthen your brand, improve the user experience across all devices, and make your website appear more professional. Learn More.
08/04/2025 - SwimTopia: Athlete Report Card Improvements
- The Athlete Report Card now only displays valid results - DQs, DNS, and SCRs are no longer included in the report.
- By default, results from events with NT (no time) entries are counted as “time improvements.” Since some teams don’t consider these to be true improvements, there’s a filter "Include NT entries in improvements" that lets you choose whether results without prior seed times should be included.
- In addition, we've made some visual updates to enhance readability by using a white background and switched the green down arrow to a green checkmark to consistently support a mix of swim and dive events.
07/29/2025 - Meet Maestro: Meet Summary - An Overall Summary is Provided When "All" is Selected
This is beneficial for leagues that need an Overall Meet Summary Report for the entire meet (or session).
For a multi-session meet: If "All Sessions" is selected, the Overall Meet Summary would be for the entire meet (all teams, all sessions). If a specific session is selected, the Overall Meet Summary would be for that session only. Learn More.
07/25/2025 - Meet Maestro: Updates to How Alternates for Individual Events are Managed
- Alternate athletes can be added to a race from the “Add Entry” pop-up window in an event.
- Once an alternate is assigned a heat/lane, they are no longer listed as an alternate on the Heat Sheet report.
- On the Heat Sheet report, alternates are now listed from fastest to slowest.

07/23/2025 - Leagues: Productivity Improvement - Admins Can Access Participating Teams Meets From Linking Screen
We've enhanced the display of information in the linked meets section of the Meet Linking screen, and provided a direct link to each meet, accessible by league admins with cascading role privileges (contact leagues@swimtopia.com if your SwimTopia league is interested in this privilege level).
This direct meet link is only available via the "host" meet -- which is the meet all the other participating meets are linked to. For meets imported via a league schedule import, these will be meets on the league's schedule in SwimTopia. Learn more about the meet linking process here.
07/19/2025 - SwimTopia: File Attachment Improvements
- Overall performance and user interface improvements
- Added a progress bar per attachment that clearly shows the upload status per file
- The form can not be submitted until all attachments have successfully uploaded
- Enforces file size of 20 MB or less, and prompts the user when the file is too large
- Prompts the user when an attachment field without an uploaded file is detected before submitting
- Prompts the user when canceling or leaving the browser tab with unsaved changes to avoid losing work

07/09/2025 - SwimTopia: Meet Merge Supports Multiple File Uploads Per Team (Roster, Advancers)
We are very pleased to announce that we can now support multiple file uploads per team during the meet merge. For example, entries in an advancers file, and roster when competing with a team that is not using SwimTopia, so all athletes can be available in the meet in Meet Maestro for deck adds. 07/02/2025 - Meet Maestro: Meet Settings Checklist and Best Practices for Running a Successful Meet
Our mission is to create the most robust team and meet management tools that enable teams to efficiently run successful meets and create positive shared community experiences throughout each season!
We've compiled a best practices guide and meet settings checklist covering topics beyond the initial setup of your meet in your SwimTopia team management site, so you can take advantage of all the great features and configuration options available when running your meet in Meet Maestro.

06/30/2025 - SwimTopia: Filters Added to Per-Athlete Fee Reports
Added a "Pricing Plan" filter to support teams and leagues that have more than one pricing plan active within a billing period (i.e., when a team joins or leaves a league, or a league adopts league-wide billing). The pricing plan filter will only display if there is more than one pricing plan included in the details.
Added a new option for “Billable” in the Athlete Fee Status dropdown. This displays all payments that have an amount due within the period (regardless of whether already paid or unpaid), and excludes deleted athletes:

06/29/2025 - Meet Maestro: DQ Report - Mixed Relays Now Display in Both Groups With Paginate by Team and Age Group Display
We've enhanced the option to paginate by team and age group, introduced in January, to account for mixed relays. Now, when mixed relays exist, instead of displaying them as a separate group in the DQ Report, they will display with each age group involved in the relay. Learn More.
06/24/2025 - Meet Maestro: Heat Sheets - Print One Event Per Page
Keep your workflow organized and your Starters, Referees, and Meet Administrators happy with the option to print one event per page on the Heat Sheets! This display option provides space so your meet officials can make notes on particular athletes/lanes. Learn More.
06/05/2025 - SwimTopia Mobile App: Remote Troubleshooting Support
We've made it easier for you to share your experience with us when you need our support. Access your app Settings menu (wavy lines at the top), tap on Enable Remote Troubleshooting, slide the tab to the right, recreate your experience, then submit a support request and include the "Session ID." 5/29/2025 - SwimTopia: Scoring by Time Standard or Flighted Meet Division Methods Configurable Within Meets and Templates
We've enhanced our Scoring by Division feature to provide an opportunity to configure the “By Time Standard” and “Flighted Meet” assignment methods within your meets and meet templates in SwimTopia before the meet entries are merged. The "By Time Standard" method also adds the division indication in the meet entries matrix and relay editor. Learn More.
Note: this release does not include support for setting up the “By Team” or “By Event” division assignment methods from SwimTopia. Those methods must be set up from the Seeding & Scoring settings within the meet in Meet Maestro for now.
5/20/2025 - Meet Maestro: CTS System 5/6 Timing Configuration Updates

05/01/2025 - Meet Maestro: Public Meet Search - Enabled by Default
We’ve made a splash-worthy update to how your meets appear in the SwimTopia Mobile app - All Meet Maestro meets will now default to being public, which makes them available to be found in the app’s meet search.
Now it’s easier than ever for grandparents, friends, and fans to follow their favorite swimmers from anywhere through our Guest Login — no more manual toggling to make meets visible!
If you’d prefer your meets to stay hidden, or your league requires this, you can still set them to Private in the Mobile App settings of your meet. (Note: this feature is not enabled on meets configured to be "hidden from public calendar.") Learn More.

We’re excited to introduce a new feature that gives you more control and flexibility over your athlete roster groups!
In addition to overall team and age-group limits, if your team uses Athlete Roster Groups (under Settings) to organize your athletes, you can now set limits for each group on your registration forms. We added the athlete e-mail address and athlete cell number to the Athlete Roster Report CSV download. This report is located under the Reports tab in your SwimTopia team management site.

Save paper! Meet Maestro now supports the option of displaying Team Scores Appended (Men's, Women's, Combined) immediately after the last event of the results and honors filter selections to only show scores based on that data. 01/17/2025 - SwimTopia & Meet Maestro: Circle Seeding Configuration Supported
Circle seeding the entire meet (not by event) is now available by request - submit a support ticket.
When enabled, you'll see the setting displayed on the Seeding & Scoring tab within the meet on your SwimTopia site:

01/09/2025 - SwimTopia: Number of Entries Added to "Meet Entries by Event" Report
The total Number of Entries will display at the top of each event section in the Meet Entries by Event report in the Reports tab. This can be useful for teams that allow parents to sign their athletes up for events, but limit meet entries by event and need to keep an eye on signups. 10/31/2024 - Meet Maestro: Time Entry Touchpad/Backup Time Mismatch Indicators
The results input box will be highlighted in yellow to call attention to a soft touch or late backup. Above the input box, a visual indicator will be displayed. These mismatches can be reviewed, cleared, or corrected by accessing the Time Adjustment form. Learn More.

Now you can double the excitement at your meets with Double Dual Scoring! This new feature enables multiple pairs of teams within a single meet to be scored independently, as though each team pair were competing in their own dual meet. 07/11/2024 - SwimTopia: Signup Calendar Status Indicator
Parents can now easily see whether they've signed up for a meet, event, or job. Once a parent signs up, the button turns from dark green to light green, and OPEN changes to EDIT. As long as signups are open, parents can easily see which events they've already signed up for, and the option to edit their response is more evident. Once you close signups, the button will turn grey and say CLOSED. Parents will be able to view their signups but will no longer be able to make any edits.

06/18/2024 - Soft Touch / Late Button Indicators

06/13/2024 - SwimTopia: Over 18 Athlete Emails

This update adds a new "Meet Participation" label type option to the Participation Labels report in Meet Maestro. You can now add record books from within Meet Maestro, even after the meet has been merged! Go to the Gear Icon > Benchmarks, and select "Add Record Book," and you'll see a list of all eligible record books for all participating teams (and league, if applicable). 11/22/2023 - League Record Books Now Available
It's the moment so many of you have been waiting for... you can now add League record Books to your meet. Once the meet has been merged, click on the Gear Icon > Benchmarks, and select "Add Record Book," and you'll see a list of all eligible record books for your league. Record books will still need to be manually managed if records are broken, but they may now be applied to the meet for teams to use as a benchmark. 05/17/2023 - Meet Maestro: Edit Points
Uh oh! You're partway through your meet in Meet Maestro, and you're wondering why none of the swimmers have any points and the score is 0 to 0? Then you realize it: your meet template didn't have any points included in it (that's ok, it happens!).
Never fear! With our new feature, you can edit the points within a Meet Maestro meet. Whether your meet template didn't have any points at all, or it had points but they were incorrect: now you can edit the points under Seeding & Scoring, then rescore your meet.

With SwimTopia’s updated SwimOutlet team store integration, we display your teams’ custom items on the SwimOutlet snippet. This gives your families a preview of your team's customized gear available in your SwimOutlet Team Store. Drop the SwimOutlet snippet anywhere on any website page to give your families better visibility into what’s available in your SwimOutlet Team Store, where they can easily click through to make orders.

04/20/2023 - SwimTopia: New "Show all Swim-Up Athletes" Option
From within the Meet Entry Matrix, athletes set or available to swim up will be designated by highlighting of their names with an up arrow. If you check the new Show all swim-up athletes checkbox, you will then see every athlete that is available to swim up in an event, including the athletes already set to swim up. 03/17/2023 - SwimTopia: New "Needs Attention" Registration Status Tab
When clicking the Registrants# to see a list of all registrations submitted broken out by status, there is now a new "Need Attention" status tab. In rare cases, a registration form can become stuck in an incomplete state. The reasoning for these occurrences is not always known, so we provide visibility to these registrations under the Needs Attention status. Note: This tab will only display if there are registrations that require your intervention. Resolution options are provided from within the interface.

03/14/2023 - SwimTopia: New Seeding & Scoring Preview
Raise your hand if you need a visual? We see you!
Seeding and scoring rules can be complex, but configuring your meets with these rules doesn’t have to be! There’s no need to wait until you’ve merged the meet entries to verify athletes are seeded in lanes as expected, and heats/lanes are designated as scoring or exhibition as required!

02/27/2023 - SwimTopia: Support Added for Google Analytics G4
Added support for Google Analytics 4 to SwimTopia. Please note that Google Analytics 3 will stop receiving data on July 1, 2023. All of our customers should upgrade to GA4 and add the new tracking ID to your team's site settings before this date or you will have a gap in your GA data.

01/30/2023 - SwimTopia: Updates to Registration Page - View by Season
We are pleased to announce our latest new enhancement: registrations organized by season
When you go to the Registration page, you'll notice the following changes:
- Registration forms are now organized by season
- The current season is marked with an asterisk
- Seasons with an open registration form will be marked with a green "Open" badge
- We've added intuitive controls for each registration form, including:
- A count of registrants, which includes a link to that form's Registration Details
- Actions: preview, copy, or remove the form

01/17/2023 - SwimTopia: Enhanced support for SwimOutlet Online Store
SwimTopia has partnered with SwimOutlet, the web's most popular swim shop, to streamline the management of your merchandise offerings directly from your SwimTopia team site. We offer a SwimOutlet snippet, where you can integrate with a SwimOutlet team store right on your SwimTopia site. This is a great fundraiser for your team: a percentage of the sales from your SwimOutlet team store will go back to the team via in-store credit or cash. Now it's even easier to get your team set up.

01/16/2023 - SwimTopia: Teams can now Import Their Roster File or Time History
New SwimTopia teams can now import their roster files immediately without the extra step of contacting support. After you have exported your team roster and/or time history data from your previous software, or used our Excel spreadsheet format to create your data import, your next step is to import this data into your new SwimTopia or Team Topia (non-swim) site.

01/16/2023 - SwimTopia: Partially Refund Conditional Fees
Refunding conditional fees work like refunding any other part of the registration payment. This is done from your Payment History Report under the Reports tab.
You can quickly get to the specific payment transaction by clicking on the View Payment button within the registration form as seen below. Otherwise, you would need to know the registration# to track down the payment from within the report. 01/06/2023 - SwimTopia to Collect Per-Athlete Fees During Registration
SwimTopia will now automatically collect the per-athlete fee during online credit card registrations (for teams that are not participating in upfront league-wide billing).
The default setting is to not itemize the SwimTopia technology fees. Visit our Help Center to learn more about how to edit your settings and to read our FAQ.
12/16/2022 - WePay and PayPal Decommissioned
As of December 16, 2022, SwimTopia has transitioned to Stripe as our integrated online payment processor. We are excited about the many benefits Stripe will bring our teams.
Setting up a Stripe account will go smoothly if you are prepared. Before setting up your Stripe account, we suggest gathering the following information to ensure a quick setup. If your team does not already have an EIN number, learn how to create one now. If you have all of these requirements ready, you'll be able to set up your new Stripe account in a matter of minutes.
When you're ready to set up your Stripe account, it must be done from within your SwimTopia account, under Settings > Stripe Account. We are unable to integrate with any Stripe accounts that are set up outside of your SwimTopia account.

11/09/2022 - Meet Maestro: Scheduled Breaks
By popular demand, we're thrilled to announce that you can now add scheduled breaks in Meet Maestro. Use our scheduled break feature whenever the meet action will be paused, including:
- Halftime
- Volunteer shift change
- Coaches relays
- Weather delay

08/23/2022 - Updates to the Stripe Services Agreement
Stripe is updating the Stripe Services Agreement and related terms. You can read the entire Stripe Services Agreement here. The updates to the Stripe Services Agreement will take effect on October 1, 2022. No action is needed from you, but by continuing to use Stripe’s services on or after October 1, 2022, you are agreeing to the updated Stripe Services Agreement.
08/11/2022 - SwimTopia to Provide SWIMS 3.0 Integration
SwimTopia has been working with USA Swimming throughout the summer, preparing for the upcoming launch of SWIMS 3.0.
If you are a USA Swimming club, you will be able to connect your SwimTopia account to USA Swimming as soon as USA Swimming launches the new SWIMS 3.0 database. With this connection, you'll be able to sync your roster to the USA Swimming membership database.

08/02/2022 - Announcing New Competition Category Terminology
SwimTopia has updated the terminology used in our products from “Gender” to “Competition Category.” This change to our products is in line with policies adopted by USA Swimming and FINA. The name of the field is now “Competition Category” rather than “Gender,” to define “Male” and “Female” for the purposes of competitive classification (and not as an indication of an individual’s gender identity). 06/10/2022 - SwimTopia: Online Payment No Longer Available for RSVP Fees
In non-meet calendar events, we no longer offer the ability to collect fees with RSVPs. We've received customer feedback that this feature did not meet the level of quality we strive to provide to our customers. We apologize for the inconvenience this may cause.

06/07/2022 - Meet Maestro: Non-Scoring Lanes & Heats Marked
We've added EXH tags in Meet Maestro to provide better visibility to athletes who are not eligible to score and/or place.
For teams who have designated scoring heats and designated scoring lanes, you can immediately see which lanes and heats are non-scoring, as soon as you merge your meet.

06/07/2022 - Meet Maestro: Enhanced Reports
Due to popular demand, we've just released several enhancements to our Meet Maestro reports:
- Add ‘show empty lanes’ option to the Heat Sheets report. This will include empty lanes in the Heat Sheet report, which some teams find helpful in the ready bench.
- Add a heat filter for the Place Judge Form. This will allow teams with designated scoring heats to print Place Judge Forms for only the scoring heat.
- Add a competition category filter to the Timer Sheets report, which enables printing timer sheets on colored paper based on competition category.
These choices will be available in "Options" for each report. Learn more here.
05/30/2022 - Meet Maestro: Seeding and Scoring an Odd-Laned Pool
Are you the home team in a 5-lane pool? Trying to designate whether Lane 1 or Lane 5 is the non-scoring lane? We're here to help! When it's time to merge your Meet Maestro meet in an odd-laned pool, there are two steps right after you click on the "Build in Meet Maestro" button:
1. Lane count: Select the number of lanes in your pool
2. Lane assignments: List only the lanes that are the scoring lanes (the non-scoring lane should not be listed)

05/26/2022 - Meet Maestro: Heat Sheet Alerts
When you first build your Meet Maestro meet we realize you might be making some lane changes and deck changes and that heat sheets aren't quite ready immediately. Introducing a new feature: you specify when you publish your heat sheets, and when you do, you can send an alert to all of your parents to let them know that heat sheets are ready in the mobile app.
Note: the default now is to not publish your heat sheets to the mobile app – now you choose when parents can see the heat sheets in the app by publishing them when you're ready (but don't forget!). This helps keep parents in the loop as soon as your heat sheets are ready!

05/13/2022 - Meet Maestro: Timing Systems - Testing Before Your Meet Starts
If you're testing your timing system (CTS Dolphin, Wylas, Time Drops, or CTS touchpads) before the start time of your Meet Maestro meet, you'll be asked if you're starting your meet early. Letting the system know that you're not starting early will prevent premature delivery of upcoming swim reminders and live result notifications to parents using the SwimTopia (Pro) mobile app at your meet.

04/28/2022 - SwimTopia: Online Store with Stripe is LIVE!
We're excited to announce that our online store integration with Stripe is now live!
A few important things to note:
1. Online store is automatically set to Stripe, for all teams with an active Stripe account -- this includes any legacy teams with both a WePay and active Stripe account
2. Seller pays the fees -- there is no way to designate otherwise

04/08/2022 - SwimTopia: Stripe Refunds are Live!
Exciting News! We just rolled out our Stripe refunds feature, so you can now initiate refunds, including partial refunds, directly from your SwimTopia team site! Please note:
- All red-badge admins can issue refunds, plus anyone with the "Financials" Role Permission(if you don't want all red-badge admins to be able to issue refunds, assign them to limited-permission roles instead).
- The processing fee is not refunded to the team. The payor receives what they paid in full unless you determine a partial refund amount.
- It could take 5-10 business days for Stripe to complete the refund process.

Anyone assigned to a Role with "manage" rights to Financials can:
- Access Stripe account screens (under Settings)
- View the Payments Report and payment details
- Capture conditional fees

02/25/2022 - Stripe Payment Processing Now Live
SwimTopia is pleased to integrate with Stripe for your payment processing needs. Stripe is one of the largest payment processors in the world. As a secure (Level 1 PCI-compliant) payment provider, Stripe enables easy online payments, eliminating the need to track a paper trail of check payments. Stripe accepts all major credit cards (Visa, MasterCard, Discover, and American Express), and Google Pay can be used to checkout (No Apple Pay at this time).
With no setup costs or monthly fees, Stripe is the preferred payment processing partner of SwimTopia. Learn more about the many benefits Stripe will provide.

01/31/2022 - SwimTopia and SwimOutlet Partner for Team Store
SwimOutlet and SwimTopia announced a partnership to offer a best-in-class team sales experience for all SwimTopia teams, with integration expected in early February.
Teams will be able to easily customize their SwimOutlet Team Store, and they can then curate the products presented to their families on their SwimTopia site. SwimTopia teams can also continue to use SwimTopia's built-in merchandise and sponsorship features they've come to know and love. And when teams set up a SwimOutlet Team Store on their SwimTopia site, they'll earn a commission from each purchase, adding to the team's fundraising options. Learn more here.
01/21/2022 - SwimTopia Launches Product Tiers
Effective January 25, you'll notice a badge at the top of your Manage Team admin portal. What does this mean?
- Premium: all legacy SwimTopia accounts will be converted to Premium, with all the same great features you've been enjoying
- Lite: all Legacy Meet Maestro accounts will be upgraded to Lite, with added features
- League: all legacy League accounts will now have a League badge

01/18/2022 - HAPPY NEW YEAR! Reminder to update your Season
As we begin the new year, there's a bit of housekeeping to do on your SwimTopia site before you set up for your new swim season, and especially before you begin accepting registrations. One step that's especially important is to change your Current Season.
And once you change your Current Season, it may seem like things "disappear" from past seasons. Never fear, it's all still in your system! However, there are some things that only show up when they're associated with the current season, including registrations, people, roles, meets/events, and more.
