About Meets and Events
Two types of "events" can be created to display on your Upcoming Events snippet and Team Calendar:
- Meets allow you to define events and set specific swim meet parameters. Members can declare their athletes, sign themselves up to work a job, and enter their athletes in events (if allowed).
- Calendar (Social) Events are events such as banquets, socials, or informational meetings that members can sign up (RSVP) to attend and/or work PREMIUM
» Tip: For clinics or other paid events which require a limited capacity, you can add these as Merchandise items with limited slots and offer them for sale on your Online Store or during Registration. ➞ See our Merchandise and Online Store articles to learn more about these options.
Table Columns
Date/Time: Specified/updated on the Meet & Event Details screen (Edit button located next to meet title within the meet). A meet with multiple dates listed is a multi-session meet.
» Note: If the schedule was imported from the league, the meets are linked between each team, so it is very important the date/time is not changed for any linked meets. This can affect scoring validation, Meet Maestro operations, and SwimTopia Mobile features.
Name/Location: Specified/updated on the Meet & Event Details screen (Edit button located next to meet title within the meet).
Even if your meet schedule was imported from the league, you should be able to customize your meet names to fit your teams desired format (ask your league if unsure). The location should not be changed unless the meet location has actually changed.
Job Signup: Displays the current status of job signup and whether or not the signup button displays on the team calendar. ➞ See the Meet or Event Status article for specific status descriptions. PREMIUM
Entries/RSVP: Displays the current status of meet entry or event RSVP (available to Premium customers), and whether or not the signup button displays on the team calendar. ➞ See the Meet or Event Status article for specific status descriptions.
Scored?: This column only displays if scoring is enabled on a team's site by SwimTopia. If enabled, a checkmark will display for scored meets. If you are interested in using this feature, submit a ticket to your friendly Customer Happiness Team (support ticket link located on top right of any Help Center page)
Table Icons
Signifies an unofficial meet. This setting is found under Meet Setup > Entry Rules. Practice meets and time trials are usually marked as unofficial. When this setting is selected, results for the meet will not be considered as a seed time for another meet configured with the "only allow official times" entry setting. Results from this meet will also be excluded from high point and top/best times reports.
» Note: If a meet is linked to a locked template, you will have to unlink it before you can update this setting if needed.
Signifies a meet or event that is hidden from view on the team calendar. Teams may choose to do this for various reasons such as when the meet has been created but the details need fine tuning, or the coach is finalizing the meet entries after RSVPs have been submitted ➞ See the Meet & Event Details article for more information.
» Tip: Instead of hiding events from the team calendar so members do not have to scroll through past events, we suggest setting the Calendar display mode to "All Upcoming/Past Events" in the Properties of your Schedule page. ➞ See the Calendar Display Mode article for more information.
Signifies the meet is at home ➞ See the Meet & Event Details article for more information.
Signifies a meet that was rained out ➞ See the Meet & Event Details article for more information.
