Heat Sheets (Heat/Lane & Estimated Start Times)
➧ Heat Sheets in the Mobile App
Heat Sheet visibility in the mobile app is configurable on a meet-by-meet basis by your team administrators. By default, the heat sheets are NOT visible once the meet entries are merged, and can be turned on before or during the meet.
This allows meet directors and coaches to review heat sheets and make final changes before publishing. This also enables those teams that sell heat sheets as a fundraiser to control the availability of this information from the SwimTopia mobile app. Some teams choose to publish heat sheets on the website schedule as well.
» Note: Contact your team admin from your team site (click Visit Website from the family overview) if you are a Pro subscriber and do not see your heat sheets once the meet has started.
➧ Heat Sheet Notifications
When publishing the heat sheets to the SwimTopia mobile app, the meet admins can opt to send or not send a notification informing the participating athletes and parents that the heat sheets are ready to be viewed.
A Pro subscription is not required in order to receive the message, but upgrading to Pro enables you to view the heat sheets on the SwimTopia mobile app. The notification will be sent via email if we do not detect that the app has been downloaded and/or notifications are not enabled for the app.

➧ Locating Heat Sheet Information
➧ Heat/Lane & Estimated Start Times
The heat/lane assignments and estimated start times for each event are also included when heat sheets are published.
Initially, these are based on the meet start time, but if your team is updating the Live Event/Heat Bar as the meet progresses, the estimated start times will adjust according to the actual progress of the meet for added accuracy.
➞ "Publish Heat Sheets" is OFF/Disabled: Entries (including heat/lane assignments) will not be visible.
➞ "Publish Heat Sheets" is ON/Enabled: Entries (including heat/lane) will be visible, but estimated start times will only display if the Live Event/Heat bar is on or a heat has been scored.
Athlete Favorites
The Favorites feature provides users with a Pro Subscription the ability to follow any athlete in a meet. Athletes from any team participating in the meet can be added to the Favorites, and Favorite athlete selections are remembered from meet to meet.
The star icon next to the athlete's name signifies favorited athletes.
All events and results for favorite athletes appear in the Meet Overview page for the meet.
➞ For members with a SwimTopia login, all athletes in the same family will appear in the Meet Overview as favorites, with or without a Pro Subscription.
A Pro Subscription adds the ability to modify the set of athletes in the Favorites selection. This includes adding other athletes or even “unfavoriting” athletes in the same family. (Imagine a teenager with a SwimTopia account, who doesn’t want to be bothered by reminders of their younger siblings' swims.)
» Note: While athlete family members and their events show up in the Meet Overview without a Pro Subscription, a Pro Subscription is required to see the estimated start times or live results for those events. Additionally, a Pro Subscription is required to receive push notifications for results or reminders for upcoming swims.
➧ Favorites Notification Settings: Reminders & Results
All notifications from the SwimTopia mobile app can be toggled On/Off in a user's phone app notification settings. Otherwise, these settings are controlled for each favorite athlete one by one within the app, as seen below.
➞ A Pro subscriber can toggle on/off the ability to receive notifications of upcoming swim reminders or recent swim results a few minutes before upcoming swims.
➞ Non-Pro Users will not be able to make changes to these settings:
Swim Reminders & Adaptive Timeline
➧ Upcoming Swim Reminders
Team members who upgrade to a Pro subscription will receive upcoming swim reminders on meet days for their favorite athletes based on the estimated start time of each event as the meet progresses.
Depending on how notifications are configured in each user's device, reminders can come through as a banner pop-up...
...but will also be available within the notification section of the app under the bell icon (upper right).
When the Live Event/Heat Bar is activated in a meet -- the current estimated start time for each swim is displayed in the “Upcoming” tab. This tab only shows events that have not yet happened. Entry times for future events and Results for past events are shown under the “All” tab (the default view).
Showing the estimated start time for all swim events in the Meet Overview makes it easier to “plan your meet day” and identify good pockets of time to grab a meal or otherwise take a break.
➧ Adaptive Meet Timeline - Estimated Start Times Adjust
The estimated start times automatically adjust based on the recorded actual start time of each event, based on the Live Bar updates made by a volunteer or made automatically when Meet Maestro is used with a supported timing system (i.e., CTS Dolphin, CTS System 5/6, CTS Gen 7, Time Drops, Wylas).
In addition to increasing the accuracy of the estimated start times shown in the Upcoming tab on the Meet Overview, the adaptive meet timeline feature also dramatically improves the accuracy of upcoming event reminders delivered to Pro subscribers.
➧ Live Event/Heat Bar Aids Start Time Accuracy
The adaptive meet timeline relies on Live Bar updates to automatically adjust the meet timeline, so using the Live Bar feature is highly recommended. Updating the Live Bar during the meet provides current event/heat information for free to all app users, and greatly increases the accuracy of estimated start times and upcoming swim reminders for Pro subscribers. If the Live Bar is not enabled, upcoming reminders will be sent out according to the original meet timeline.

➧ Pausing Upcoming Swim Reminders (Delayed/Canceled Meet)
While the adaptive meet timeline and upcoming reminders are made more accurate by use of the Live Bar, they do not require the Live Bar to be used. As mentioned above, if the Live Bar is not used, start times are determined by the original meet timeline.
However, as a result, this means that if the meet stops, due to a rain delay, is cut short or is canceled entirely, the upcoming reminders for that meet will still go out.
The reminders can be "paused" by any of the following actions:
- If the Live Bar volunteer marks the session as complete in the mobile app's "Event/Heat Updater" screen (under the key icon)
- The host team (whoever merged the meet) either turns off the reminder notification under the Mobile App Settings (gear icon) in the Meet Maestro meet, or hides the meet on the calendar on the SwimTopia side where the meet was created/merged (under Edit of the meet).
➧ Reminders and Adaptive Timeline are Session and Time Zone Aware
Sessions can start at different times and occur on different days, thus each Session has a separate timeline that is updated independently from other Sessions. Prior to the prevalence of virtual meets, holding Sessions in different locations was extremely rare, but now in the era of Covid and virtual meets, it has become commonplace. As a result, it is now much more common for different Sessions in the same meet to occur in different time zones.
We have added the ability to specify per-session time zones, and the Session timeline and upcoming reminders automatically use the per-session time zone. Additionally, when merging a virtual meet, in addition to loading the default pool configuration for each team into each virtual session, we now also copy the team’s time zone as the setting for that team’s virtual meet session.

Meet Results & Team Scores
➧ Live Results Notifications
For teams that use Meet Maestro to manage their meets, team members with a Pro subscription are notified of swim results and team scores for all swimmers live throughout the meet.
Similar to the upcoming swim reminders, live results notifications are sent based on your notifications settings. Below is an example of a banner notification:
The notifications will also be available within the notification section of the app under the bell icon (upper right).

Pro subscribers can also follow along as the results are dynamically updated as each event and heat progresses.
➧ Post-Meet Results (Meet is Complete)
➞ Pro version of the app: Results for ALL athletes and events can be viewed as the meet progresses (if run using SwimTopia's Meet Maestro system), and when the meet is complete from the Events > Results tab.
➞ Free version of the app: Users will see meet results for THEIR athletes, from the Meet Overview screen and the athlete's meet history screens, but only AFTER the meet is finalized and the meet host has either transferred or uploaded the results to the meet when the meet is run in another system other than SwimTopia's Meet Maestro. Teams can choose whether or not to display the meet scores in the app.

➧ Team Scores
Teams can choose to display the meet scores in the Mobile App during and/or after the meet. This is determined under the Mobile App Settings within each meet in Meet Maestro.
When all scores are published to the mobile app, Pro subscription users will be able to see the combined team scores, scores by competition category. and points awarded per athlete as the meet progresses. Users of the free version will only see the breakdown of scores after the meet has been completed.
