TeamUnify - Roster & Time History Import (.xlsx or .xls)

You can import your team's roster and time history from your existing TeamUnify database into your SwimTopia website with a few simple steps.

➧ Roster Export from TeamUnify

We can import your Team Roster from your existing TeamUnify database into your SwimTopia website. For future seasons, SwimTopia’s Registration process will collect all the personal data for you.

In TeamUnify, the team roster is exported as follows (assuming this has not changed):
 
  • Go to Back Office > Org Tools > Members
  • Click the checkbox to the left of "Last Name" to select all active members.
  • Click the Export button and then Custom Excel Report.

  • In the dialog that opens, click Select All.

  • Click Create Report. This should create a report ending in .xlsx

➧ Import the file into your SwimTopia site

After you have exported your data, and created your historical seasons (if applicable), your next step is to import this data into your new SwimTopia site. This is done from the Manage Team admin console under the Settings > Import Roster or Time History page as shown below.

➧ Time History and Best Times

TeamUnify does not provide an option to export your team’s entire time history in a format we can import. However, this will be possible in a future release (TBD), so we highly suggest downloading your team's time history report (steps below) before closing down your account if you want to obtain this information.

» Note: If your team roster and time history are available in Team Manager, you'll have better results using a Hy-Tek export.

➧ Exporting Time History from TeamUnify

Step 1) Log in to TeamUnify as Admin

Step 2) Choose Time Reports from the left navigation

Step 3) Choose Top Times by Athlete

  • Set Course
  • Select all Meet Types
  • Set "In this period" to your date range
  • Select "All" for all other fields, except "Show Top"
  • Set "Show Top" to 0 to get all times
  • Click Report Now

Step 4) Click Save As Excel from the report results page, and save this information is a folder to reference.

➧ Workaround Option: Use meet results files to import time history and/or best times

If you have meet results files for each meet, you can import those into your SwimTopia site to get historical times. If you just want to capture your athletes’ best times, you can do that as well.

➧ What's Next...how do parents log in?

Your parents create their accounts through the registration process. Regardless of whether you imported a past or active season roster, we suggest that you create a registration form and invite your parents to register so members can activate their accounts by setting a password.

This can be a simple form for collecting contact information or you can use all sections of the form as needed. Each season they register to be affiliated with the active season, but they don’t have to activate their accounts more than once.
