» Note: If another meet system is being used to run the meet, or the day and time of the meet have passed and meet entries have not been merged, your members will see a notice in the meet overview of the app stating the meet is not being run in Meet Maestro. Team admins should notify members when another meet system is being used to run the meet, so they know when the SwimTopia app will not be useful for meet day features.
Pro Subscription Details

- The free trial is a one-time offer, even if canceled before the 7 days.
- The fee for the first subscription period will be charged to your Apple App Store or Google Play account at the end of the 7-day free trial.
- Any unused portion of a free trial period will be forfeited if you purchase a subscription during that time.
- The subscription fee will be based on the monthly or annual selection.
- Subscriptions will automatically renew unless canceled within 24 hours before the end of the current period. (This is an app store policy. See links below to contest with your app store directly. Please do not submit a support ticket to SwimTopia, as we cannot help with this process.)
- The Apple App Store supports "family share" for the SwimTopia mobile app.
- The app is not supported by Google's Family Library (family share) based on their requirements as stated here. Specifically, the bullet that states, "You can't share in-app purchases and apps downloaded at no charge with your family members."

➧ How to Subscribe/Renew a Pro Subscription
- You should see a "Try Pro for Free" button at the top of most screens (i.e., the Family Overview, the Meet Overview for any current or past meet, and Settings (wavy lines on top left).
- Click that button and follow the prompts to subscribe.
- Users can manage their subscriptions and turn off auto-renewal in their iTunes Account Settings or Google Play Store after purchase.
➧ How to Cancel/Unsubscribe from Pro
SwimTopia is unable to cancel a Pro subscription or issue any refunds. All cancellations and refund requests must go through either the App Store or the Google Play Store. We provide a quick link to your app subscription management tool from the Settings (wavy lines) in your app, or you can go directly to the App Store or Google Play Store.
» Note: Deleting the app DOES NOT cancel your subscription. Just like unplugging your TV from your cable box does not cancel your cable service. Canceling your Pro subscription is between you and the App Store.

Downloading the SwimTopia Mobile App
The SwimTopia mobile app is available in the Apple App Store and Google Play Store.
➧ Mobile System Requirements:
- iOS 11 or higher (Apple family share supported)
- Android 8 or higher
Logging Into Your Mobile App Account
The SwimTopia mobile app is a companion app to your team's SwimTopia website, so they'll use the same login credentials for the SwimTopia mobile app.
If they forget their password, they will need to reset this from your team website (they can click "Need login help?" for instructions as needed):
If someone from your team asks how to log into the app, ask them if they are a registered member of the team.
➧ YES
If they have activated their account on your team's website by setting up a password, then all they need to do is log in to the SwimTopia mobile app using the SAME email/password that they use on the team website.
➞ Send them to the Account Activation, Login and Password Management article if they need help.
➧ NO/NOT SURE
Tell them to go to YOUR team website (make sure to send them the URL so they don't end up on www.swimtopia.com) to see if they can log in there, or use the "Forgot your password?" option to check. If not, then they either need to register with your team on the team website or access the meet in the SwimTopia mobile app as a Guest User.

Switch/Change Teams
➧ Already registered on the new team
Each team has a URL address to log in to the website, but when using the SwimTopia mobile app, there is an option to select which team to view under the app settings (wavy lines in upper left).
➧ Not registered on the new team
You need to be affiliated/registered with each team directly, but you can use the same email/password as long as your first/last name format is the same. Do not use a different name format or nickname for your athletes, either, to avoid creating a duplicate record.
After you have completed your registration, you will receive an activation email for this team. The same password can be used on each site. Then you would change your team in the mobile app as shown above.
» Note: If you do not see an option to register on your team site, reach out to the team representatives (you should find a way to contact them on the website).
Guest Access Details (for non-team members)
(Available for meets run using Meet Maestro only...ask your team admin if unsure)
» Note: Your members should log into the app using their activated account login instead of using the Guest login. There are more options available for members than guests.
SwimTopia Mobile's Guest Login allows meet spectators without member accounts to use the app so they can search for upcoming or past meets and follow their favorite athletes throughout the meet from anywhere!
This access is also useful for your athletes who want to keep track of their progress through the meet on their phones and do not have a login on your team site. (if you're using Meet Maestro to run the meet)
With a Pro Subscription, guest users can designate their athlete favorites, access heat sheets (if made available by the team), follow the progress of the meet if the team is using the Live Event/Heat bar, and view live results and scores.
Without Pro, guests will still be able to follow along as the meet progresses if the team is using the Live Event/Heat bar, but will only see results once the meet has been completed.
➧ PRIVATE VS PUBLIC MEETS
The meet admins can enable a setting in the meet that makes the meet private, in which case, non-members will not be able to access the meet to follow along. This will be designated in the app by a lock icon next to the meet name, and when the user clicks on the meet name, a message will display:

» Guest Login Users Tip: Spread the word to your members so they can inform any non-members who want to follow their athlete that once you log into the mobile app via the Guest access, don't log out. When someone logs in via Guest, a "token" is associated with the user to remember their favorite athletes (Pro Users), and they can continue to see the athlete's history over time. If they log out of the app, the token is no longer associated with the user to remember their favorites. The next time they try to use the app, they would have to log in as a guest again and then re-favorite their athletes.
Guest Access - Pro Upgrade
If you upgrade to Pro while accessing as a guest, and then log out and access as a guest again, or log into your member account, the Pro subscription should be retained, as this is tied to your phone.
If you are not seeing Pro features:
Click on the "Try Pro for Free" banner and then the Restore Subscription link to activate the subscription again on your phone.
This should restore any active subscriptions you may have purchased through your Apple or Google accounts. Sometimes there's a disconnect and it is not automatically recognized. This can happen if you originally started a subscription as a Guest user or another logged-in user, or after reinstalling the app.
If this does not restore your subscription, log out of the app and back into your account, and/or uninstall and reinstall the app. If that doesn't work, please submit a support ticket from your settings screen and attach a screenshot of your app setting screen (under the wavy lines). For example:
Athlete Access Options
Many times, older athletes want mobile app visibility into team alerts, their time history, heat sheets, live results, and more. The easiest option would be for the athlete to download the SwimTopia mobile app and log into one of their parents' accounts, but if they want their own account or the parent does not want them using their login, then there are a few options:
➧ Option 1: Add Athlete Email and Activate Account (if age 13+)
Only schools and adult swim teams can collect emails for athletes during registration, which initiates an account activation email. Due to the Children's Online Privacy Protection Act ("COPPA"), which restricts communication directly to anyone under 13, we don't support this for Summer league configurations.
Summer league team admins can add emails to athlete profiles after they have been registered, but this does not automatically send an activation email. You need to click the reset password button on their profile or have them go to the login page to generate one to set up a password to activate their account. Then they can log in to the mobile app. We highly suggest not doing this for anyone under 13, or at least unsubscribe them from receiving team communication in their profile.
➧ Option 2: Use the Guest Login Access ("Continue as Guest" button)
The athlete needs to be logged into the app with a username and password associated with the team to get team alerts, but they could just go through the Guest login to receive Upcoming Swim and Live Results notifications during a meet if they have a Pro subscription. » Note: In both options, if the household uses family share, they should have access to the parent's Pro subscription. This is all based on how their parent set up their phones, so we have no involvement in that part, which is managed by the app stores. If they don't, they are treated like a separate user and need their own Pro subscription.
SwimTopia Mobile Settings
The mobile app Settings menu is found under the wavy lines in the upper left corner.
Within your SwimTopia Mobile Settings, you have direct access to:
- Change your Team/Account if you are a member of more than one (i.e., Summer/HS)
- Manage your SwimTopia Mobile app Notifications
- Search for a meet in the Public Meet Search (if the meet host has not made the meet private)
- The Mobile App section of our online Help Center
- Send App Feedback to SwimTopia's Customer Happiness Team for assistance on issues or improvement requests (This DOES NOT reach your team)
- Rate on App Store - Rating apps helps others gauge the usefulness of mobile applications, and helps us know if we're on the right track! (If this is not working, your "In-App Ratings & Reviews" setting in the phone Settings > App Store is likely turned off. Once you turn that on, you should see the rating pop-up when you click on the link.)
- Manage Subscription on your phone so you can update your app subscription as needed.

- Enable Remote Troubleshooting - to create a screen recording if you are experiencing issues.

» Note: If you are experiencing issues, please use the Send App Feedback option to provide details or tell us how we can improve. There may be a configuration or feature your team is not utilizing that is a logical reason for what you or your members are experiencing, so we can help clarify if that is the case.
Enable Remote Troubleshooting
If your members experience an issue using the mobile app, they can enable remote troubleshooting. This will create a transaction log that our technical team can analyze to determine the root cause of the issue.
They will access the app Settings menu (wavy lines at top left), tap on Enable Remote Troubleshooting, then slide the tab to the right, retrace their steps, and then submit a support request with the "Session ID" included.
They need to click the "STOP" button in the recording diagnostics banner whenthey are done. Leaving it running could affect performance.
Team Website Link
The app provides information about the family, time history, meet/event schedule, team alerts (if sent by your team), and meet-day features.
For additional team information, we provide a "Visit Website" link to access your website through the mobile app at the top of your app when you log in.
Sending a Team Alert from the Mobile App
At the pool and need to notify your members quickly? No need to log into your team website from your phone browser or computer!
Admins with Site Admin (red badge) permissions, or assigned to a role with the permission to Manage Communications, can send an alert from within the app.
The alert feature works the same in the app as within your Manage Team admin console. Click on "Add all members" to include your current season roster, enter "Members (Previous Season)" to reach your past season roster, enter Role names, Athlete Age Groups, or School Year groups, etc.
Enter your subject, short message (160-character limit), and click the Send button at the top.
» Note: Sent alerts will be visible from within the Communications tab of your Manage Team admin console, not within the mobile app.
