When you run a virtual meet in Swimtopia Meet, all teams can swim their side of the meet at their own home pool, and the results will be scored upon completion of each swim event. ➞ See our Virtual Meets article for more details.
There are some occasions where you might be running a virtual meet, but you need to merge results after the fact, such as:
Scenario 1 ➧ Swimtopia Meet vs. Non-Swimtopia Meet – The home team is running their side of the meet in Swimtopia Meet, but the opponent is using different meet software.
Scenario 2 ➧ Hybrid Virtual Meet – The virtual meet includes a combination of live meet(s) with more than one team at a location using Swimtopia Meet, plus solo meet(s) where only one team is competing at their home pool and using Swimtopia Meet, like a time trial. After both teams (home for the dual meet, plus the solo team) have merged their meet in Swimtopia Meet, there will be two meets in Swimtopia Meet, and we can combine those into one virtual meet.
The steps to merge results are similar for both scenarios:
Once both meets have been merged (and this can be before the meets actually begin), contact our Customer Happiness Team at help@swimtopia.com, and ask them to merge the solo meet in Swimtopia Meet INTO the dual meet in Swimtopia Meet to create a virtual meet with two sessions -- one session will be the dual meet, the other session will be the solo meet.
The scores will tally as the meet progresses, and once both sessions are complete, the home team can Finish & Export the results. Nothing else is needed on our part or on your part.

Step 1: Pre-Meet Prep
Differences in the event schedule will cause undesired behavior when scoring the meet in Swimtopia Meet, so it is important to ensure all participating teams are using the exact same event schedule. This can be achieved by sharing ev3 event files (Meet Setup > Events) for the creation of the meet schedule in Swimtopia or with another meet management system.
Step 2: Create a ‘Normal’ Single-Session Meet
In Swimtopia create a ‘normal’ meet with a single session. This meet can have multiple participating teams (via meet linking or via meet entry upload on the merge screen).
» Note: When merging the meet DO NOT select virtual meet.
Step 3: Each Team Runs their Meet
➧ Scenario 1: Swimtopia Meet vs. Non-Swimtopia Meet
You'll set up your meet as an unlinked solo meet (as if it was a time trial), then run your side of the meet in Swimtopia Meet. The opponent(s) will run their side of the meet in the meet software that they're using (which can include Hy-Tek's Meet Manager, Swimmingly, etc.)
» Important Note: If the non-Swimtopia Meet team has finished their session prior to the start of the Swimtopia Meet session, then the non-Swimtopia Meet team results can be imported into the meet in Swimtopia Meet before running the session. This will give the Swimtopia Meet operator and mobile app users the opportunity to see the final places and scores as the meet runs (event by event) rather than waiting until the end.
➧ Scenario 2: Hybrid Virtual Meet
You'll run your in-person meet in Swimtopia Meet, and the solo team(s) will run their side of the meet as a solo meet in Swimtopia Meet (not linked to any other teams, as if it was a time trial).
Step 4: The Opponent Exports Results
After their side of the meet is complete, your opponent will need to export results so you can merge their results into your meet:
➧ Swimtopia Meet vs. Non-Swimtopia Meet
Your opponent will need to export their results in .hy3 or .sd3 format (or a zip file containing .hy3 or .sd3 results) and send the file to you.
» Note: they should send a Results file, not a Merge Results file.
➧ Hybrid Virtual Meet
The team(s) who ran another meet in Swimtopia Meet should download an export file of their results:
- Go to Finish & Export
- Lockout changes
- Go to the Downloads tab
- Select "Results" as the Export Type
- Select the Export Format
- Select the team(s) for which you'd like results (select just the team name, or "One File Per Team" if you need a file for each team)
- Click Generate File
- Click "Download" to save the file
- Send the file to the Home team
Step 5: Create a New Session in Swimtopia Meet
The Home team will then create a new session in Swimtopia Meet:
- Click on the Gear Icon > Meet Setup in the meet in Swimtopia Meet
- Select "Enable virtual meet"
» Note: Once saved as a virtual meet, this cannot be changed as it impacts on how the meet is scored.
After saving as a virtual meet, the navigation will now show "Sessions" on the left.
- Go to Sessions and Click "+New Session"
Step 6: Import the Opponent's Results
- Select the opponent's results file in .hy3, .sd3, or .zip, and press "Create." (All of the swim events must match in each session, including the event numbers, age, competition category, stroke, and distance)
- The file must be a Results file (a Merge Results file will not import correctly)
» Note: The importer may ask questions along the way if the meet data in the file doesn’t match up with the meet in Swimtopia Meet. The importer may say "import running" for a few minutes – Swimtopia Meet is creating a new session with events, matching or creating teams and athletes, adding results, and then rescoring the meet.
Once finished, be sure to press "Finish," as this will reload the app for you. If anyone else is running your meet in Swimtopia Meet, they should reload the meet, too.
The Sessions page will now show your imported session. The pool course should match what was in the
file, and the number of lanes is a guess based on the data in the file. Adjust using "Edit" if the guess was
incorrect.
Step 7: Finish the Meet: Reports + Transfer/Export Overall Results
➧ Reports
Once the meet is fully scored, you can run all of your end-of-meet reports with the merged results, including the results report, award labels participation labels, etc.
➧ Finish & Export Results
Then you'll go to Finish & Export, and Transfer results back to the Swimtopia teams who were in the original meet in Swimtopia Meet.
Teams that did not create meet entries in Swimtopia: if they exported results to send to you, the results won't be transferred to their site since Swimtopia Meet is unaware of their meet. Go to the Downloads tab to export a Results file to send to any Swimtopia team who sent results to you. They'll need to import the overall results directly in the Results > Import tab of the meet.
