Your SwimTopia Lite account has been preloaded with the JR ISL registration forms. In this Help Center article, we'll be discussing issues on your registration forms that are specific to JR ISL.

JR ISL Registration Forms
You'll see several registration forms that JR ISL has created for you.
To see the differences between each registration form, you can click on the name of the form, then review the text that's in the Section Description field:
Sections in the Registration Forms
Click on the name of the registration form to see the sections within each form. Across the top of the registration form, you'll see a tab for each section:
➧ Main Registration
In the top portion of this tab, you'll find some sections with various settings. Please keep those settings as-is.
Please ensure the Reply-To Address is memberships@jrisl.com.
You'll also notice the registration fees are set to $0.00—the JR ISL fees are embedded in the Acknowledgement Sections further down the tab.
The forms come pre-filled with Custom Questions—please leave those in place.
Each form has a corresponding set of Shared Form Sections in the Acknowledgement Sections—these are the JR ISL waivers that are required to be on this registration form. Please do not remove a Shared Form Section unless instructed to do so by JR ISL.
However, if you see a warning that a Shared Form Section is out of date, make a note of the name of that Shared Form Section, then click on "Remove Section."
You should see the updated version of the Shared Form Section in gray at the bottom, along with several other JR ISL Shared Sections. Find the name of the Shared Form Section that needs to be re-added, then click on "Add to Form."

We recommend you capture medical information and emergency contact details for your athletes.

➧ Merchandise
SwimTopia doesn't yet offer a way to capture the AAU membership number for athletes who are already AAU members. Therefore, you'll find a workaround that's been implemented via an Athlete Merchandise Item on some of the registration forms. Please leave this item intact on the registration form.
The person completing the registration form will be prompted for the AAU number for each athlete—they should enter the AAU number in the field provided (although that field may say "Name"), then click "Add" to ensure it's saved for each athlete.
If your team offers a free t-shirt to your athletes, you'd capture the t-shirt size for each athlete by setting up an Athlete Merchandise Item. You can also sell additional merchandise during registration, such as t-shirts, towels, yard signs, family sponsorships, etc.

Ensure that this section is enabled.
The JR ISL fees will be collected via credit card, using JR ISL's Stripe account—no action is needed on your part to set up a Stripe account.
If you're collecting funds for anything else on your registration form, you can set up a Stripe account for your team, and you can also accept payment via check or member number.

If you'll need to enable limits on overall team size or the size of each age group, you can set those up for each registration form.
Preview Your Registration Forms
Before you open registration, please preview the form and go through all of the sections to ensure everything is set up the way you expect it to be, and that your registration form will capture the required information from your families.
Click on "Actions," then select "Preview."

Open/Close Your Registration Forms
Once you've previewed your registration forms and everything looks good, you're ready to open your registration forms.
Slide the Status to "Open."
When you're ready to close registration, you'll slide the Status to "Closed."

View Registrations
As registrations start to come in, you can click on the number in the Registrants column, where you'll be able to view the registrations.

Update AAU Numbers for Athletes
Any time you have an AAU number for an athlete, you can update that athlete's record via the Registration Number field. You can update these numbers in bulk in the Athlete Registration Numbers Report, or you can manually edit an athlete's individual profile from the People page.

Copy Registration Forms to the New Season
When it's time to transition to the new season, you'll need to make copies of each registration form.
First, you'll need to update your season, under Schedule > Seasons. There will be other housekeeping to do as well:

Next, you can click on the "Actions" button for each of the JR ISL registration forms, then select "Copy to..." and select your new season.
